Custom systems

A custom system so inventory, collections and cash reconcile themselves

We build the system from how your team works today, odd cases included: credit on route, selling without signal, tiered commissions. Delivered in phases you accept working, with automated tests, and everything in your name.

The problem

“Control is manual and scattered”

That is how a distributor described its operation before working with us. Inventory lived in a spreadsheet with three blocks of columns pasted side by side. Customer credit had no single place. The cash each driver handed in was never compared against what was owed.

What the system says is not what is in the warehouse. The same thing is captured twice. And every question ends in a call to the owner.

What the last client received at handover
  1. 01User manual
  2. 02Technical manual
  3. 03Requirements met
  4. 04Backup and restore
  5. 05System architecture
  6. 06Interface design

Plus credentials, kept outside the repository, and the code and database in your name.

What it includes

The modules that run a business

  • Inventory per warehouse

Central warehouse and each truck or branch, wholesale and retail prices per product per warehouse, minimum stock and transfers with a folio.

  • Sales

Counter point of sale with receipt, and a route app that works offline and syncs when the network returns.

  • Credit and collections

Limit and terms per customer, statement with aging, automatic blocking of sales over the limit, daily collections report.

  • Cash

Expected vs delivered, with the difference computed by the system, not the person.

  • Purchases, costs and commissions

Average and last cost, commissions per seller, product or category, profit by product, customer, seller and route.

  • Reports, alerts and audit log

Low stock, credit exceeded, overdue balance; who changed what and when.

  • For clinics

Scheduling with confirmation, searchable records, estimates, treatment and billing in one place.

Captured once. What the system says is what there is.

How it is delivered

In phases, and you see each one working

Every phase has a written scope, screens in your team's vocabulary, automated tests, field tests, your real data imported and your acceptance. This is how the last system we delivered was phased:

  1. 01Phase 1 · Role-based access, catalog, inventory per warehouse
  2. 02Phase 2 · Transfers, routes, load open/close, point of sale, driver app
  3. 03Phase 3 · Credit with limits, collections, daily cash, route expenses
  4. 04Phase 4 · Purchases, costs, commissions, profit
  5. 05Phase 5 · Reports, alerts, dashboard, audit log
  6. 06Phase 6 · Offline mode, bulk import from Excel, backup, handover

What you keep

At handover, it is yours

System in production on your accounts. Code in your repository. User manual inside the system and a technical manual. Requirements-met document, point by point. Daily encrypted backup with a copy in your account and a tested restore. Role-based training, recorded. Any developer can continue; that is a deliverable, not a favor.

When it does not make sense

Stop operating the way the software forces you to. Or not.

  • If your operation is standard, packaged software fits and we will tell you on the call.
  • A custom system makes sense when you have rules the packaged one does not cover: credit on route with per-customer limits, different prices per truck, selling where there is no signal.
  • We do not build tax invoicing or accounting: we integrate the commercial product your accountant already uses.

Proof

FAQ

Questions about this service

How long does a phase take?

Two to four weeks, with a written date. A full system usually has four to six phases. The ERP DG took about six weeks for 19 modules.

What happens to my spreadsheet data?

It is imported as part of the scope, with a row-by-row preview before applying. In the ERP DG, 183 products and 8 categories came in from the client's file.

Can I stop after one phase?

Yes, at the end of any phase, without penalty. You keep everything built, documented and in your name.

Does it work offline?

The route app does: it opens without signal, stores every sale, payment and expense, and sends them in order without duplicates when the network returns.

Let's start with the module that hurts most

Collections, inventory or cash: the first phase is small and already solves something. In 20 minutes we tell you which one.
